The customer signs
Send one electronic disposal approval covering the device and every drive inside it — the media, the method, and the sanitization standard. Nothing moves without a signature.
Custody is tracked
Each drive gets a thermal label and QR code. Every transfer — pickup, transport, intake, staging — is scanned, timestamped, and signed.
Disposal is certified
Drives are wiped and physically destroyed; devices are recycled or returned. Each item — every drive and the machine itself — gets its own sealed, hash-stamped Certificate, verifiable any time.
Two streams that must never be confused
Wiped, then destroyed
The data-bearing item. Sanitized to the standard named in the signed consent, with the method recorded against that individual drive, then physically destroyed. Ends in a Certificate of Destruction.
Recycled or returned
The machine itself — laptop, desktop, or server. Never described as wiped, sanitized, or destroyed. It is recycled through a certified recycler or returned to the customer, and ends in a Certificate of Device Disposal.
Both are documented in one intake and covered by one customer signature. Each keeps its own QR label, its own Chain of Custody, and its own certificate — because an auditor asks about a serial number, not a batch.
A record you can hand to a lawyer
Tenant-configurable standards. Canadian tenants cite CCCS ITSP.40.006; US tenants cite NIST SP 800-88. The certificate always matches the signed consent.
Sealed records. Every certificate carries a SHA-256 document hash, a UTC timestamp, and a public verification URL.
Your brand on the certificate. Co-branded documents lead with your logo; Custodyne signs as the record-keeper.
Field-ready. Thermal labels print at the size your label printer uses; technicians scan QR codes at every hand-off.
